Data Updates & Parallel Activities

We are experiencing an unexpected issue with data updates that occur during parallel process flows. The scenario is as follows. We have a shared record type, AccessRequest, with a collection of a shared record type AccessRequestNote. The process has a variable defined of type AccessRequest. We have a process with parallel activities A, B, and C which all leverage the same form that takes an AccessRequest as a parameter. Via this form, a new note can be entered and added to accessRequest.notes. The problem is that notes entered during activity A are not displayed on the form at activity B or C. Likewise, notes entered at activity B are not displayed on the form at activity C. Furthermore, any updates to the accessRequest are not reflected during subsequent parallel activities. Is this working by design? Do activities work off of a copy of the state of a process variable taken at the start of the activity? If so, is there a workaround to force a form to retrieve the latest and greatest data from the database?

Yes, by default the todo that is created is reflecting the state in which the process was when it was created. If you want to force the reload of the todo, go to the main form of the todo, go to properties tab -> Refresh Items -> Check "refresh upon todo display" checkbox
